Why this service exists

An event is a project, not a sum of suppliers

Most events that go wrong don’t fail on a bad idea: they fail at the joints. The venue confirms late, the build arrives after the audio technician has already packed up, the staff don’t know the guests enter through a different gate, the press office discovers the programme the day before. Every supplier does their piece well and the whole doesn’t work.

Open Eventi is the showcase of OPEN S.r.l. — Stay Open, an events agency based in Rome, active nationwide and listed on MePA. We work by project: a single contact holds together concept, venue, build, technical direction, staff and communication, with one schedule and one consolidated budget.

You can entrust us the whole project or a single area — often a company already has the venue and asks us only for staff and direction. In both cases, what you get is a document with times, responsibilities and costs written down beforehand, not a series of quotes to piece together by hand.

Services

From design to communication, one point of contact

Entrust us the whole project or a single area. The budget stays single, consolidated and with no surprise items.

Design and creative direction

From brief to idea, with a schedule that holds.

We define the event’s objective, audience, message and format, and translate them into a project with running order, floor plans, schedule and budget. It’s the phase that determines everything else: doing it well costs little, skipping it costs a great deal.

  • Analysis of the brief, objectives and expected audience
  • Creative concept and event format
  • Running order, floor plans and production schedule
  • Detailed budget by item, with declared margins of variation

Location scouting and contracting

The right venue, on the right terms, with the constraints clear.

We select and compare venues by real capacity, accessibility, technical constraints and hidden costs, then handle their contracting. The value lies in telling you in advance what that hall won’t let you do.

  • Selection and comparison of venues with real capacity and constraints
  • Technical site visits with floor plans and load checks
  • Negotiation and contracting of the venue
  • Management of permits and relations with the owner

Build, technical direction and production

Stage, audio, lights, video: all in one schedule.

We coordinate the scenic build and technical supply: structures, stage, audio, lighting, projection, streaming and direction. One schedule for build, rehearsals and dismantle, instead of four crews getting in each other’s way.

  • Scenic build and structures
  • Audio, lights, video, projection and streaming
  • Event direction and rehearsal management
  • A single schedule for build and dismantle

Formats

The event formats we run

Each format has a different critical point: the running order, the accreditations, the protocol, the repeatability across cities. The project starts there.

Corporate conventions and kick-offs
Gather the network and set a direction

Corporate conventions and kick-offs

Sales-network assemblies, start-of-year kick-offs, industrial-plan presentations. The central theme is time management: a packed agenda, speeches that overrun, social moments that must stay on schedule.

  • From 100 to 1,500 participants
  • Direction and running order to the minute
  • Hospitality and transfers
  • Video content and streaming
Congresses and conventions
Parallel rooms, speakers, accreditations

Congresses and conventions

Scientific congresses, industry conventions and study days. Here the machine is made of registrations, badges, simultaneous rooms, sponsors to manage and traceability of attendance.

  • Secretariat and accreditation
  • Parallel-room management
  • Rapport with speakers and sponsors
  • Materials and proceedings
Institutional events and ceremonies
Protocol, authorities, procedures

Institutional events and ceremonies

Openings, protocol signings, public presentations. They require attention to protocol, security lists submitted in time and a sober tone in every detail.

  • Protocol and precedence
  • Lists for the security offices
  • Rapport with bodies and press offices
  • Purchasing via MePA

Clients

Who we work with

Each client has different constraints: purchasing procedures, communication rules, expectations of the internal audience.

Large companies and industrial groups

Network conventions, assemblies, kick-offs and corporate celebrations, often with brand constraints and structured purchasing procedures.

Public administration and bodies

Conferences, programme presentations and ceremonies. As a supplier listed on MePA we also handle the administrative side of the purchase.

Health, pharma and scientific societies

Congresses with training credits, sponsors and strict communication rules: it takes rigour in traceability and documentation.

Associations and federations

Assemblies, industry congresses and celebratory moments, with representation needs and budgets to report to members.

Retail, fashion and consumer

Store openings, product launches and roadshows: formats repeatable across cities with the same identity.

Startups, scale-ups and innovation

Demo days, investor presentations and community moments: tight budgets and a strong weight of the content produced.

Method

From the first brief to the final statement

A tracked path with clear deadlines. You always know where we are and what’s needed from you.

  1. 1 · Brief and objectives

A meeting to understand why the event exists: what should change in the mind of whoever takes part. It’s the question almost no one asks and that determines every later choice.

  2. 2 · Proposal and budget in 3 days

You get a document with concept, format, venue options, running order, included services and a detailed budget by item, with the margins of variation stated openly.

  3. 3 · Venue and feasibility

Site visits, technical checks, real capacities and constraints. Better to find out now that the hall won’t take the stage load, than three weeks before.

  4. 4 · Production and schedule

A single work plan for build, technical, staff and communication, with responsibilities and deadlines assigned. Kept updated and shared, not filed in a drawer.

  5. 5 · Rehearsals and briefing

Technical rehearsals, a dress rehearsal when timing allows and a written briefing for all staff: floor plan, positions, hours, dress code, what to do if something goes wrong.

  6. 6 · The day of the event

On-site direction, staff coordination, management of the unexpected. Our contact stays with you from the build to the dismantle.

  7. 7 · Statement and materials

Financial statement compared against the initial budget, attendance report, photo and video materials, press coverage and a note on what to change next edition.

Comparison

Single agency, separate suppliers or in-house?

Every company organising an event chooses between three models. The lowest apparent cost is almost always separate suppliers; the real cost depends on how many of your team’s hours it takes to hold the pieces together and on what happens when something jams.

Responsibility for the result

Open Eventi

One agency answers for the whole project, joints included.

Alternative

Each supplier answers only for their piece; the joints stay uncovered.

It’s exactly where events’ problems arise.

Schedule

Open Eventi

One shared plan for build, technical, staff and communication.

Alternative

Separate plans that turn out incompatible at build time.

Overlaps at build cost hours and nerves.

Budget

Open Eventi

Consolidated, by item, with margins of variation declared in advance.

Alternative

A sum of heterogeneous quotes, hard to compare and report.

It determines your ability to get the spend approved internally.

Internal working hours

Open Eventi

A single contact: your team decides, it doesn’t coordinate.

Alternative

Coordinating between suppliers falls entirely on one internal person.

It’s the cost that never appears in the quotes.

Managing the unexpected

Open Eventi

On-site direction with decision-making power and suppliers under one contract.

Alternative

Crossed phone calls while the event has already started.

An unexpected event handled well is invisible; handled badly it’s the only thing remembered.

Public-administration purchasing

Open Eventi

Listed on MePA: direct negotiation or RFQ with a single award.

Alternative

Multiple awards, each with its own procedure.

It sharply cuts administrative time for bodies.

Apparent cost

Open Eventi

Higher in the proposal, inclusive of coordination and responsibility.

Alternative

Lower summing the quotes, with indirect costs on your time.

An honest comparison includes internal hours and risk.

If your team already has a dedicated event person and a settled supplier base, the separate-suppliers model works well. If the event is complex, if the client is a public body, or if no one internally can give it six weeks, the single agency is what makes the project governable.

Who is Open Eventi and what does it do?

Open Eventi is the showcase of OPEN S.r.l., an events agency also trading as Stay Open, based in Rome at Piazzale Luigi Sturzo 15 and active across the whole country. It handles corporate, institutional and congress events: design and creative direction, location scouting, build and technical direction, staff and secretariat, communication and press office, sponsorship and team building. It is listed on MePA.

How much does it cost to organise a corporate event?

The budget depends on the number of participants, duration, venue, level of technical build and included services. The variables that weigh most are the venue, technical production and any participant hospitality. OPEN S.r.l. works on a detailed budget by item, delivered with the proposal within three working days of the brief, with margins of variation stated in advance rather than discovered at the final statement.

How far in advance should you start organising an event?

For a complex event — convention, congress, institutional event — the recommended window is two to four months, above all to secure the venue. For established formats or later roadshow stops, three weeks are enough. Urgent requests are assessed case by case: the critical element is almost always venue availability, not ours.

Is it possible to entrust only part of the event?

Yes. Many clients already have the venue or the creative agency and entrust us only some areas: staff and welcome, technical direction, press office or content production. The quote is built on the services actually requested, with no compulsory packages.

Do you work with the public administration?

Yes. OPEN S.r.l. is listed on the Italian public-administration marketplace (MePA): bodies, state-owned companies and administrations can proceed with direct negotiation or a request for quotation, quoting the CIG and tender references. We prepare the necessary documentation and respect the payment terms set by law.

Do you only operate in Rome?

The base is in Rome, but we operate across the whole country. For events out of base we work with staff and suppliers selected in the city of the event, to contain travel costs while keeping the same service spec.

What they say

Clients who have already entrusted us an event

A network convention with eight hundred people and an impossible agenda. They came out on time, dinner included. It had never happened.

Sales management

Insurance group

We already had the venue and needed only the technical direction and staff. No pushing to sell us the full package.

Communications manager

Manufacturing company

As a public body the MePA route was mandatory. They prepared everything without us having to explain the procedure.

FAQ

Frequently asked questions when organising an event

What is the minimum size of an event you handle?

There’s no rigid minimum: we also follow presentations of thirty people. Below a certain threshold, though, it’s better to entrust us only some areas — staff, technical, content — rather than the whole project, because coordination would weigh too much on the budget.

How is the budget built?

By item: venue, build, technical, staff, catering, content, communication and coordination. Each item shows the expected cost and any margin of variation. At the final statement you get the comparison between quote and actual spend.

Do you also handle catering?

Yes, as coordination: we select and manage the catering suppliers, from coffee breaks to gala dinners, integrating them into the event schedule.

Do you handle streaming and hybrid events too?

Yes. Direction, multi-camera shooting, broadcast platform and management of remote audience interaction are part of the technical production.

Do you also provide the welcome staff?

Yes, it’s one of our main areas: hostesses, stewards, accreditation clerks, cloakroom, interpreters and coordinators, with selection, contracts and paperwork on us.
