Six event formats, with their real difficulties

Each format has a different critical point: the running order in a convention, the accreditations in a congress, the protocol in an institutional event. Below you’ll find how we approach them.

Framing

The questions we ask before proposing anything

A well-framed event costs less than an improvised one, because it doesn’t pay twice for the same mistakes.

  • A declared objective: what should change in the mind of whoever takes part
  • The real audience, not the hoped-for one: how many people will actually come
  • Calendar, venue and budget constraints put on the table straight away
  • A level of technical production consistent with the content, not the catalogue
  • Social moments designed together with the programme, not added at the end
  • Materials and content planned from the start, to make the event live on afterwards

How much time it takes, in practice

  • Event up to 100 people3–5 weeks, if the venue is already identified or easily available.
  • Convention or congress of 300 to 800 people2–3 months: the constraint is almost always venue availability.
  • Event over 1,000 participants3–4 months, with venue and technical production locked as early as possible.
  • Next stop of a roadshow2–3 weeks, because the format is already defined and repeatable.

Rough guidance. Urgent requests are assessed case by case: the critical element is the venue, not our organisation.
