Who is Open Eventi and what does it do?
Open Eventi is the showcase of OPEN S.r.l., an events agency also trading as Stay Open, based in Rome at Piazzale Luigi Sturzo 15 and active across the whole country. It handles corporate, institutional and congress events: design and creative direction, location scouting, build and technical direction, staff and secretariat, communication and press office, sponsorship and team building. It is listed on MePA.
How much does it cost to organise a corporate event?
The budget depends on the number of participants, duration, venue, level of technical build and included services. The variables that weigh most are the venue, technical production and any participant hospitality. OPEN S.r.l. works on a detailed budget by item, delivered with the proposal within three working days of the brief, with margins of variation stated in advance rather than discovered at the final statement.
How far in advance should you start organising an event?
For a complex event — convention, congress, institutional event — the recommended window is two to four months, above all to secure the venue. For established formats or later roadshow stops, three weeks are enough. Urgent requests are assessed case by case: the critical element is almost always venue availability, not ours.
Is it possible to entrust only part of the event?
Yes. Many clients already have the venue or the creative agency and entrust us only some areas: staff and welcome, technical direction, press office or content production. The quote is built on the services actually requested, with no compulsory packages.
Do you work with the public administration?
Yes. OPEN S.r.l. is listed on the Italian public-administration marketplace (MePA): bodies, state-owned companies and administrations can proceed with direct negotiation or a request for quotation, quoting the CIG and tender references. We prepare the necessary documentation and respect the payment terms set by law.
Do you only operate in Rome?
The base is in Rome, but we operate across the whole country. For events out of base we work with staff and suppliers selected in the city of the event, to contain travel costs while keeping the same service spec.

Operational questions
What is the minimum size of an event you handle?
There’s no rigid minimum: we also follow presentations of thirty people. Below a certain threshold, though, it’s better to entrust us only some areas — staff, technical, content — rather than the whole project, because coordination would weigh too much on the budget.
How is the budget built?
By item: venue, build, technical, staff, catering, content, communication and coordination. Each item shows the expected cost and any margin of variation. At the final statement you get the comparison between quote and actual spend.
Do you also handle catering?
Yes, as coordination: we select and manage the catering suppliers, from coffee breaks to gala dinners, integrating them into the event schedule.
Do you handle streaming and hybrid events too?
Yes. Direction, multi-camera shooting, broadcast platform and management of remote audience interaction are part of the technical production.
Do you also provide the welcome staff?
Yes, it’s one of our main areas: hostesses, stewards, accreditation clerks, cloakroom, interpreters and coordinators, with selection, contracts and paperwork on us.
Who is our contact during the project?
A single person, from brief to final statement. On the day of the event they are on site with the direction team: you’ll never find yourself explaining the same thing to different people.
What happens if something goes wrong during the event?
Every project has a contingency plan for foreseeable issues — weather, speaker delays, technical faults — and an on-site direction with decision-making power. The unexpected remains, but it’s handled without having to involve you while you’re talking to guests.
Do you also produce video and photo content?
Yes: shooting, photography, editing and delivery of the materials after the event, ready for the communications of the following months.
Do you also handle weddings and private events?
The scope of this site is corporate and institutional events. For private events and weddings the reference is the dedicated project of Stay Open, the parent company.
How do you handle participant data?
The lists and collected data remain the property of the client: they are used only for the service and deleted at the end. All processing follows the GDPR.

Production schedule
The plan that assigns activities, owners and deadlines from signing to dismantle. It’s the document that holds different suppliers together.
Real capacity
The number of people a hall actually holds in the chosen configuration, almost always lower than the declared capacity.
Event direction
The real-time coordination of running order, technical and staff during the event: who decides when it starts and what gets cut if it overruns.
Contingency plan
The alternatives prepared for foreseeable issues — rain, technical fault, absence of a speaker — decided beforehand and not during.
Hybrid event
An event with an in-person audience and an audience connected remotely, requiring direction, a platform and management of remote interaction.
MePA
The Italian public-administration electronic marketplace, through which bodies buy services from registered suppliers via direct negotiation or a request for quotation.
